Privacy Policy

NextGen Automation ("we", "us"), based in Nanaimo, British Columbia, provides automation and communication services for local businesses. This policy explains what we collect through nextgen-automation.ca, our phone line, and our messaging channels, and how we use it.
What we collect. When you contact us, book a call, fill out a form, message us on social media, or call our phone number, we may collect: your name, business name, phone number, email address, information you share about your business needs, call recordings and transcripts (our phone line is answered by an AI assistant and calls may be recorded - you are told this at the start of the call), and message history.
How we use it. To respond to your inquiry, book and manage appointments, provide and improve our services, send you information you've asked for, and - only with your consent - send marketing messages. Text messages we send identify us and include opt-out instructions; reply STOP any time to stop texts, and every marketing email includes an unsubscribe link (Canada's Anti-Spam Legislation applies).
AI disclosure. Some conversations (phone, SMS, web and social chat) are handled by AI assistants. They identify themselves as AI, and you can always ask for a human.
Who we share it with. Service providers that run our systems: HighLevel Inc. (CRM and communications platform, U.S.-based, including its subprocessors such as messaging carriers and AI providers), Google (calendar), Meta (if you contact us via Facebook or Instagram), and Stripe (payments). We don't sell your information. Your data may be stored and processed in the United States.
Retention and your rights. We keep contact records while relevant to our relationship. You can ask us to access, correct, or delete your information by emailing [email protected]. We'll respond within 30 days. Complaints may also be directed to the Office of the Privacy Commissioner of Canada.
Changes. We'll post updates here with a new effective date.
